Terms of Service

1. Acceptance of terms
By creating an account, accessing or using VigilDocs, you agree to be bound by these Terms of Service and our Privacy Policy. If you do not agree, you must not use the service.
2. Description of service
VigilDocs is an AI-assisted platform that helps organisations draft health and safety documents, manage project teams, track assets and fleet compliance, and conduct site inspections. Output is a starting-point template and must be reviewed by a competent person before use.
3. User accounts and responsibilities
You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account. You must ensure that any personal data you upload or record has a lawful basis for processing and that you have the right to share it.
4. Subscription and billing
Subscriptions are billed through Stripe. Fees are charged in advance for the selected billing period. You may cancel at any time; access continues until the end of the current billing period. Top-up packs are one-time purchases and do not automatically renew.
5. Acceptable use
You agree not to use VigilDocs for any unlawful purpose, to upload malicious content, to attempt to bypass security controls, or to access data belonging to other accounts or organisations. We may suspend or terminate accounts that breach these rules.
6. Intellectual property
You retain ownership of the project data and documents you create. VigilDocs retains ownership of the platform, its code, templates, branding and underlying AI orchestration logic. We grant you a limited licence to use the platform for the duration of your active subscription.
7. Limitation of liability
To the maximum extent permitted by law, VigilDocs is not liable for any loss, injury, regulatory action, fine, prosecution, or business interruption arising from reliance on AI-generated content or from failure to have output reviewed by a competent person. Nothing in these terms excludes liability that cannot lawfully be excluded.
8. Confidentiality and security
We use industry-standard encryption, multi-tenant isolation, and strict access controls to protect your data. You are responsible for keeping your login credentials secure and for promptly notifying us of any unauthorised account use.
9. Changes to the service
We may update the platform, pricing, features or these terms from time to time. Material changes will be communicated through the service or by email. Continued use after changes constitutes acceptance of the updated terms.
10. Termination
You may close your account at any time. We may suspend or terminate access if you breach these terms, fail to pay fees, or if required to do so by law. On termination, your right to access the service ceases immediately, subject to any data-retention obligations under applicable law.
11. Governing law and jurisdiction
These terms and any dispute arising from them are governed by the laws of Scotland, and the Scottish courts have exclusive jurisdiction, save where mandatory local law provides otherwise.
